Data Security Basics for Small Businesses

Data Security Basics for Small Businesses

Small businesses often think data security is only a concern for large companies. But your sales records, customer details and payroll data are valuable, and losing them can be very costly. These basics go a long way.

Back up regularly

Make automatic daily backups, and keep at least one copy in a different location, such as the cloud or an external drive taken off-site. Test that you can actually restore from it.

Use proper user accounts

Give each staff member their own login, with access only to what they need. A cashier does not need to see payroll or profit reports.

Strong passwords

Avoid shared or simple passwords. Change them when staff leave, and enable two-step verification where available.

Keep software updated

Updates fix security issues. Keep Windows, antivirus and your business software up to date.

Watch the activity log

Good business software records who changed what and when. Reviewing logs helps catch mistakes and misuse early.

Protect your hardware

Use a UPS for power cuts, keep servers in a safe place, and lock screens when computers are unattended.
